Administrative Assistant

Location: 112 Cox Ave., Raleigh, NC (not remote)

Hours: Part-Time, exempt salaried for 20 hours/week—Monday through Friday, 8 AM to Noon/9AM to 1PM

Job Description:

Join us as an Administrative Assistant, where you’ll work collaboratively with the Executive Director (ED) and play an essential role in supporting our team to ensure smooth operations. Position Responsibilities:

Financial/Development-Focused Tasks (50%)

  • handles expense reporting, invoicing, and basic office accounting tasks
  • collaborates with the Bookkeeper to process weekly and monthly income received through the mail, Network for Good donor database, Truist and Edward Jones bank accounts
  • works in collaboration with the ED and/or Development Manager to maintain the donor database and donation acknowledgement system
  • provides mailing lists for newsletters and other mailings from the donor database
  • edits and submits grant applications/reports collaboratively with the ED
  • assists the ED in providing financial/impact reports to the Board, including budget projections/monitoring
  • helps to create and maintain an annual grant and income calendar/schedule
  • prepares checks for weekly deposits at a local bank

Administrative Tasks (40%)

  • manages daily administrative tasks, including answering phone, scheduling, tracking deadlines, etc.
  • coordinates logistics for Board meetings and assists ED with creating an agenda and any additional preparations for board meetings, events, webinars, etc.
  • oversees ministry purchasing for supplies, equipment and property management
  • assists ED in keeping official physical and digital records for the organization
  • collects, opens and distributes mail
  • monitors Ministry’s e-mail daily and facilitates responses (informational inquiries, requests for resources, media interview opportunities, facilitating supporter requests, referral to other staff, etc.)
  • operates as part of the team structure which includes weekly work check ins, bi-monthly staff meetings, staff development retreats, etc.
  • performs other administrative tasks as needed

Management and Operations Tasks (10%)

  • monitors operational systems, infrastructure, compliance with laws, regulations, and organizational policies in partnership with the ED
  • maintains subscriptions, memberships, and monthly invoices for organizational operations
  • manages basic human resource records, processes, and procedures in cooperation with the ED
  • manages the administrative relationships with Member & Supporting Organizations

Required Skills and Qualifications:

  • Proven experience as an administrative assistant or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational and time-management skills
  • Strong communication and interpersonal abilities
  • Ability to work independently and as part of a team
  • High school diploma or equivalent; associate or bachelor’s degree preferred

Salary: $26,000 annually, based on experience and qualifications.
Company Benefits (20 hrs./week employees): paid holidays, prorated vacation days, prorated sick leave, and pension
